What's the role?

Bloomberg’s Legal & Compliance Department plays a critical role in supporting our businesses and operations around the world. We are seeking an Administrative Assistant to join our Legal & Compliance Department. This role will allow you to work in a highly collaborative environment, where you will support our senior leaders and contribute to their day-to-day administrative and operational management. In addition, our Administrative Support team works hand in hand with colleagues throughout the Department on varied initiatives to ensure that proper administrative coverage is in place at all times.


We'll trust you to:
  • Provide end-to-end calendar and time management for senior leaders, including scheduling, resolving conflicts, and coordinating and prioritizing internal and external meetings
  • Arrange international and domestic travel, including all logistics (e.g., air, ground, and rail transfers), accommodations, technology/connectivity, passports, budget management, and expense reports
  • Assist with tasks in relation to document and database management (e.g., generating redlines, archiving documents in iManage or other document management software, working with Office Services on mailings, and preparing PowerPoint decks)
  • Provide a wide variety of support to the team's daily operations (e.g., notetaking, printer management, and working with Facilities to address Department needs)
  • Assist in the preparation and execution of Department meetings and other events (e.g., summits and strategic planning sessions)
  • Develop and maintain strong relationships within the Department and throughout the Company, with senior executives and their administrative support teams, Facilities, Human Resources, Finance, and other internal stakeholders and teams
  • Manage general inquiries, including directing requests to appropriate team members, responding to certain employee inquiries, and ensuring timely responses to urgent issues

You'll need to have:
  • A minimum of 5 years' administrative experience providing exceptional support to multiple individuals and frequent interaction with C-level executives
  • Outstanding interpersonal and communication skills
  • Exceptional organization and time management skills with great attention to detail
  • Excellent judgment, the ability to balance resourcefulness and discretion and demonstrate ability to protect confidential and proprietary information of the firm and managers
  • A positive and collaborative attitude, assertive but flexible personality to meet the changing needs of the firm and current assigned team; highly reliable, responsible and responsive
  • The ability to effectively manage/coordinate simultaneous projects, and successfully prioritize and multi-task with sound judgment in a collaborative environment
  • A motivated, proactive and customer service-oriented attitude
  • Experience using both Macs and PCs and proficiency in Apple iOS; proficiency in Microsoft Office Suite including Word, Excel, PowerPoint, Outlook and Visio

Salary Range = 85000 - 125000 USD Annually + Benefits + Bonus

The referenced salary range is based on the Company's good faith belief at the time of posting. Actual compensation may vary based on factors such as geographic location, work experience, market conditions, education/training and skill level.
